Helicopter charter request checklist
Most helicopter requests stall for the same reason: they arrive with half the information an operator needs to answer. This checklist is what SkyMatch works through with every enquiry, whether it arrives by WhatsApp, by email or through the request form. Working through it before you ask saves at least one full round of questions.
An inquiry is not a booking. Nothing is reserved until a qualified operator confirms and you accept in writing.
The route
- Departure location: city, airport, heliport, hotel, venue or address
- Arrival location, named as specifically as you can
- Whether either end is a private property rather than an airport
- Any intermediate stop, pickup or drop-off
The timing
- Date, or the range of dates under consideration
- Preferred departure time, and how much that could move
- One-way or return
- If it is a return, whether the aircraft should wait or reposition
- Any hard deadline the movement has to meet, such as a connecting flight
The passengers and the luggage
Weight is not a formality on a helicopter. Passenger and baggage weights feed directly into what an operator can accept, and an honest number early is far better than a surprise on the day.
- Number of passengers, including children and infants
- Number of bags and their approximate total weight
- Oversized items such as golf clubs, skis, instruments or equipment
- Mobility, accessibility or medical requirements
- Security or privacy requirements
The context
Purpose matters because it changes what a good answer looks like. A wedding arrival, a board movement and a same-day connection are all solved differently.
- Business, event, leisure, connection or time-critical movement
- Ground transport needed at either end
- Whether a specific landing point has already been discussed with a property or venue
- Any routing, airspace or permit issue you already know about

- What if I do not know all of these details yet?
- Send what you have. Most requests start incomplete, and the missing pieces are usually resolved in a short exchange. What matters is that the gaps are identified before operators are approached, rather than after a quote has already been built on an assumption that turns out to be wrong.
- Why does luggage weight matter so much?
- A helicopter is weight and balance sensitive in a way an airliner is not. The combination of passengers, bags and fuel decides what a given aircraft can carry on a given day and route. An approximate but honest total lets the operator plan realistically instead of discovering a problem at the departure point.
- Can I request a specific aircraft type?
- You can state a preference and it will be included in the request. Whether that type is available, suitable for the route and acceptable for the landing points is the operator's decision. SkyMatch will not promise a specific aircraft before an operator confirms it can be provided.
