Guide for assistants

Helicopter charter: a guide for executive assistants

If you arrange travel for someone whose time is the scarce resource, a helicopter is usually being considered because a road or connection has become the weak point in the day. This guide covers what you need to gather, what you can reasonably promise your principal, and where the answer has to come from the operator rather than from anyone else.

An inquiry is not a booking. Nothing is reserved until a qualified operator confirms and you accept in writing.

What to collect before you ask anyone

  • The fixed point in the day: the meeting, the connection or the event slot
  • Departure and arrival points, including hotels or venues rather than just cities
  • Passenger names count and any accessibility or security requirements
  • Luggage, including equipment, samples or presentation material
  • Whether a return is likely, and roughly when
  • Who approves the spend, and how quickly they can be reached

What to ask the broker

  • Is this route realistic on this date, and what could prevent it
  • Which landing points are being assumed at each end
  • What has to be confirmed by someone else, such as a hotel or venue
  • What the cost drivers are for this specific movement
  • What the change and cancellation position will be once confirmed
  • What the fallback is if the flight cannot go ahead

What you should not promise your principal yet

Until an operator has confirmed, a helicopter movement is a plan, not a fact. That includes the aircraft, the exact timings, the landing point at a private property, and the price. Framing it that way protects you: the schedule can be built with a realistic alternative in place rather than around an assumption.

Keeping the thread useful

One thread per movement, with the details in a single message rather than scattered across a day of chat, is the difference between a request that can be sent to operators immediately and one that has to be reconstructed. If something changes, send the change as a complete statement of the new plan rather than a correction to a previous line.

The boundaries that always apply

SkyMatch Group is an independent helicopter charter broker and concierge. We do not own or operate aircraft. Every flight is performed by a qualified operator, and aircraft, routing, landing sites, permits, timings and pricing are confirmed by that operator before anything is treated as final.

A message or a submitted request is an inquiry, not a booking. Nothing is reserved until the operator confirms and you accept in writing.

Frequently asked questions

How far in advance should I raise a helicopter movement?
As soon as it is plausible, even if the date is soft. Early notice gives operators room and gives you time to resolve landing permissions at hotels or venues, which is often the slowest part. A provisional request that is later cancelled costs nothing before an operator has been confirmed and accepted.
What do I tell my principal about weather?
That the decision belongs to the operator and the pilot on the day, and that it is made on safety grounds. Build the schedule with a ground alternative where the movement is critical. A broker who promises weather certainty is promising something nobody in aviation can deliver.
Can I get options without committing?
Yes. Preparing a request and receiving indicative options is not a commitment. A flight exists only once an operator confirms and you accept the confirmed terms in writing, so you can gather what you need to present internally before anything is agreed.
